Get Ready for Oracle Recruitment Cloud

Exciting changes are coming for how we attract, hire and welcome new employees to the university. In August, Oracle Recruitment Cloud (ORC) will transform several steps in our current hiring process, replace the current Career Portal and introduce industry-leading tools and best practices in recruitment. 

Applicants will have a more modern, user-friendly interface. Hiring managers will be able to actively manage their recruitments within the system, gaining real-time status updates and automated approvals.

Why is this change happening? 

Today, the hiring process involves several manual steps, tools, systems, and processes to post a job, review and screen applications, create and sign offer letters, and trigger onboarding activities. ORC will consolidate many of these hiring steps in a single application, modernizing and streamlining the experience for hiring managers and candidates.  

What’s not changing? 

Overall, the current steps for recruitment – from getting approval to hire for a position to onboarding – will stay the same. The biggest shift with ORC is that it introduces a modern applicant tracking system to simplify and streamline some of those recruitment steps once you’re ready to post your job on the ÀÖÓ¯VI’s career site. Learning resources for hiring teams will be available to help you navigate ORC in the coming weeks.

How can you prepare?

If you are involved in hiring or have active/upcoming job postings, note the following: 

  • A transition period is expected in mid-August. This period is essential for completing actions to support a successful migration of job postings, employee data, conduct system testing and finalize website updates for the external career site. These steps are critical to ensure a smooth transition in preparation for and after going live.
  • Student hiring (e.g. graduate student appointments) is not impacted by the ORC implementation. These appointments can proceed as usual. 
  • During the transition, hiring managers will not be able to post new requisitions or extend any existing postings. Plan for any urgent or time-sensitive postings to avoid disruption. Postings that are expected to remain open beyond 30 days should be postponed until the launch of ORC in late August. 
  • Responses and processing times for job posting requests may be delayed as the Talent Acquisition, Immigration, and Records team balance urgent hiring support with critical test activities to ensure a smooth system rollout.

Key Activities & Dates

  • User acceptance testing is underway to validate the tool’s functionality and to ensure it meets the implementation criteria for university-wide roll out.
  • A transition period for recruitment activities is expected mid-August, when hiring managers will not be able to post new requisitions or extend any existing postings. 
  • The initiative is anticipated to roll out in two phases:
    • Phase 1 - August 2025: Focuses on the candidate experience and enables hiring managers to access, view, and manage candidates within their dashboards.
    • Phase 2 - November 2025: Deployment of additional system functionality.
